How To Upload a File to Library
The File Library is a place to store documents, pictures, computer programs, etc. that we want to keep for reference, for our posterity, or so that they are available to others in the congregation by downloading. All documents are organized category, or subcategory, so that we can easily access them for reading or downloading.
For some documents, such as the newsletter, LINKS to the documents are already on a webpage and when you put the documents into the library, the most recent documents are instantly available to others. For most other documents, people will go to the library page and browse until they find the document they are looking for. Also, specific links can be created on a webpage that point to a specific file.
A WORD ABOUT PDF FILES…. In order for any person to be able to read a document, they must have the appropriate software installed on their computer. By far, the pdf format is the best way to save a document that will be readable by everyone, because all web browsers have that capability.SO, before placing a file into the library that you want everyone to be able to see in their web browser, you should convert that file to pdf format. Then save the pdf file instead of the original, or save BOTH files in the library. FOR EXAMPLE: The constitution is written using Microsoft Word. A copy could be saved in PDF format so that anyone could open and read it. Also a copy of the original DOCX format should be saved so that the document can be edited if necessary. REMEMBER, JUST BECAUSE YOU CAN OPEN YOUR DOCUMENT FROM THE WEBSITE DOESN’T MEAN THAT OTHERS CAN. THEY PROBABLY DON’T HAVE THE SAME APPLICATIONS INSTALLED ON THEIR COMPUTER.
When you upload a file into the Trinity Library, you should put it in a category.
In order to display on the Library Directory Page, it must have a category associated with it, the highest being “Library”. However its recommended to NOT use “Library” itself to store files, always use a lower category, even if you have to create one.
On the Dashboard, select WP-Filebase|Files to open the File upload template.
Browse your computer directory until you find your file.
Its also usually preferable to enter a shorter, more descriptive name to your file. Otherwise the filename will be used.
Select the appropriate Category
IF you dont know where to put the file, put it in the “Temporary” category. You can change it later.
You can create a new category by chosing WP-Filebase | Categories.
Then fill in the desired category name.
ALL categories must have a parent category, so the highest level will have the parent “Library”.
You can build the category tree as far as you want by adding sub-categories to “Library”, and continuing down the tree.
Finally, check out your file entry by going to the Trinity Document Library and checking to see if you have placed the file where you wanted to. If you have any questions, just give the webmaster a call.
